Secretary For Dubai Office In Jlt

Location: Dubai, UAE



Dubai company based in Jumeirah Lakes Towers (10 minutes walking distance from Damac metro station), is looking for a team member who shall fill a position of a Secretary cum. Receptionist.

Salary offered is AED 3,500.

Working week is from Sunday till Thursday from 8.30 a.m. till 6 p.m.

Basic insurance coverage is provided.

Start date: immediately or after serving 30 days notice with the previous employer.

Your tasks shall include but not limited to the following:

Check temperature of every team member in the morning
Check temperature of everyone coming to office
Clean meeting room table first thing
Inspect office surroundings first thing in the morning e.g. arrange chairs, refill sugar, coffee creamer, hand wash, dishwashing soaps & tray for sweets
Check printer cartridge supply, put A4 paper in printer tray in the morning
Make sure touchless sanitizers is working
Answering phone calls
Сlean up the meeting room before and after EACH meeting + always check video intro 1 hr in advance (engl, rus)
Offer and make coffee/tea for the guests
Update timely database of clients' company stamps
Update database of clients' Apartment keys
Properly label photo storage of clients'
Scanning/Copying
File documents to clients folder and make sure it's properly labeled
Maintain notices on board in up-to-date status (no old notices shall be on the board)
Managing of Driver/PROs Schedule
Ask team member to throw garbage if their trash bins are full.
Coordinate with cleaning company schedule of visit and make sure they clean properly
Make sure to order water for office before it runs out
Order clients' photo
Order stamps to desco
Be aware of notices from building and inform team
Ensuring everything is in order in the office before leaving (no leaking, light and electricity is switched off)
Monthly inspection of first aid kit and refill
Coodinate with Building maintenance
Repainting service arrangement and tracking
Create and maintain employee table containing all information (update regularly)
Prepare a workspace of employees who join the company (1-2 days in advance)
Wash of aprons and gloves once per month arrangement w Office General Helper.
Weekly check of lamps in both offices - if change is required - inform PRO to buy
Coordinate with the landlord if any maintenance work required
Secure building permit incase we have deliveries
AC Cleaning service arrangement and tracking
Coordinate with Du, incase problem with internet occur
Repainting service arrangement and tracking
Make sure inoor plants are watered correctly
Make a list of all receivers we usually sent documents to
