We are urgently hiring a Personal Assistant to the Chairman
Key Responsibilities:
- This role represents the office of the owners/executive management of the firm & provides high-level executive and administrative support
- Be a professional first point of contact for all inquiries for managing both internal and external
- Coordinate effective meetings by organizing and collating meeting agendas, providing confidential minute taking and task distribution
Preparing reports, memos, minutes of meetings, and documents as required. Coordinating with the team or other departments to follow up on the completion of tasks
- Regular follow-ups with other departments as a representative of management, support and push other teams to efficiently expectations of/deadlines set by management
- Administrative work for the executive management of the company organizing all filing, documentation, and records as asked to oversee
- Assisting executive management with managing his/her calendar, appointments, filing expenses, and travel
- Managing all external bookings for meetings or coordinating with the travel desk for international travel and bookings on behalf of executive management
- Pay attention to detail, maintain a flexible and resourceful approach to effectively multi-task and manage workload
Qualifications: -
- Proven experience as an executive administrative assistant, senior executive assistant, or in other secretarial position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficiency in English
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload
- High-level verbal and written communications skills
- Discretion and confidentiality
- High School degree; additional qualification as a personal assistant would be considered an advantage
